Summary
Instructions on how to scan-to-email and eFax on Ricoh copiers. eFax, also known as virtual fax, utilizes the Ricoh copier's scan-to-email functionality instead of the dedicated Fax button on the Home screen.
Step-by-Step Instructions
Tap the Scanner button from the home page of the copier.
If you do not see the Scanner button, tap on thebutton located at the bottom middle of the screen.
Tap the Add button.
To scan to email please type the full email address you wish to send the document to. To eFax type the full fax number, including the 1 at the beginning of the number, and then add @efaxds.com at the end. So if I wanted to eFax to the fax number 18885551212, I would enter 18885551212@efaxds.com as the email address. Tap OK and Done.
Once the email or fax number has been entered it should look like this:

Optionally: if the document you are scanning is double-sided, make sure double-sided scanning is selected. You may also want to change the color of the scan from black and white (B & W) to color. You can view the current status of these settings on the right side of the scanning screen above the Start button.
To change these settings tap on Send Settings which is located right above the Start button.
For scan to email you can tap on Start but for faxing there are a couple additional steps.
Click on Scan Settings on the right side of the screen right above the Start button. Swipe up until you see Subject and Text.
Tap on Subject and Text and fill out any information as needed. This will become the cover letter of the outgoing fax.
Tap on the back arrow
(located next to the Home button) to go back to the main scan menu.
Tap on Start to send the fax. If the Start button is not a bright green then that means the fax number or email address wasn’t entered correctly.
To check to see if your email or fax went through, tab on the Scan Files Status button which is located on the upper right of the screen next to the Reset button.
On the left under Destination you’ll see your fax number (censored in this example) and under Status you should see Completed.
Additional Notes
- Disclaimer: screenshots were taken from a Ricoh IM460F and available settings, their location, and look of the settings may differ depending on the model of the Ricoh copier.
- Do not use the Fax button on the Ricoh copier when trying to eFax. Only use the Scanner button.
